This hybrid role will serve as the Executive Assistant to both the Founder/CCO & President of a luxury sportswear brand and Office Coordinator. The main function is to assist the Executives in day-to-day office support and to serve as the point person for office managerial duties including maintenance, mailing, supplies, events coordination and errands. Help with daily errands. Front Office & Office Management Welcome visitors by greeting them, in person or on the telephone; answering or referring inquiries Maintain security by following procedures; issuing visitor badges Document and properly distribute all incoming mail and packages Organize monthly office calendar with important dates, and schedule office days for team members; oversee office duties are being completed, and assist as needed Work with the IT department to schedule bi-weekly in person support, manage equipment inventory and order machines as needed, and assist with IT needs from the team Assist managers with onboarding new hires i.e. working with IT, setting up necessary accounts, providing rundown of office expectations Maintain continuity among work teams by documenting and communicating actions, irregularities, and continuing needs Maintain supplies by checking stock to determine inventory levels; anticipating requirements; placing and expediting orders; verifying receipt; stocking items; delivering supplies to work stations. Manage relationships with vendors and service providers ensuring all deadlines and invoices are handled appropriately Complete projects and special assignments by establishing objectives; determining priorities; managing time; gaining cooperation of others; monitoring progress; problem-solving; making adjustments to plans Work with donations of product with various charities Order baby gifts for all employees with new children and flowers for those with new life events
